AYA Office Assistant
Part Time – 20 hours per week, a 48-week year
$15 per hour

In collaboration with the Oakland County Youth Assistance Caseworker, the Office Assistant will effectively maintain the daily routines and duties of the Avondale Youth Assistance offices.

Key responsibilities include:
  • Keeping the office running in an organized fashion. This includes purchasing office supplies, maintaining an inventory of all supplies, maintaining office equipment, keeping all files updated, light housekeeping and assisting caseworker in making and creating forms, files and other requests to assure a smooth operation.
  • Duties will include but not limited to:
    • Check, record and respond to all voicemails
    • Check and respond to all emails
    • Check the office “In Box” – Letters to type or other requested correspondence
    • Pick up US mail, interschool mail, post outgoing mail
    • Answer the phone and assist the caller with their needs
  • Request, distribute and/or mail checks
  • Prepare registration forms, register, accept payments (if required), record attendance for any Avondale Youth Assistance sponsored programs as needed
  • Send notice of meetings and sponsored events to members
  • Have copies of board meeting packets available at meetings and in office
  • Perform general clerical duties including but not limited to printing, photocopying, faxing, mailing and filing
  • Will work with volunteers on all AYA sponsored programs
  • Provide assistance to AYA Board members and Committee members when requested
  • Complete special projects and other tasks as assigned by the AYA Caseworker, Board of Directors and Committee Chairpersons

Qualifications:
  • Strong knowledge of and proficiency in Microsoft Office applications
  • Ability to create and manage accurate and confidential documentation
  • Ability to maintain strict, complete confidentiality of client and office records and any and all other privileged information pertaining to Avondale Youth Assistance
  • Ability to work independently and/or with limited direction
  • Understand the mission of Avondale Youth Assistance
  • Detail oriented, strong, analytical skills and creative problem solving
  • Ability to understand written and oral instructions and initiate appropriate action
  • Possess professional written and oral communication skills
  • Complete all assigned tasks in a timely manner, be a responsible well-organized individual that can solve practical problems and deal with a variety of situations that arise with minimal supervisory direction
  • Ability to network effectively with clients, parents, members of the community, sponsors, volunteers and staff in person, electronically and via telephone
  • Ability to create, edit and update documents, flyers, office records, etc.
  • Knowledge and ability to work with social media applications
  • Ability to work in an organized, timely and efficient manner
  • Ability to demonstrate honesty, trustworthiness, respect, cultural awareness and sensitivity and sound work ethics
  • Ability to work in a team environment
